OPERATIONS ASSOCIATE

Reports To: Lead Distiller
Location: Musanze District, Rwanda, at Virunga Mountain Spirits

Scope/Role: A new craft distillery/agro-tourism site located at the foothills of the Virunga Mountains will open in Musanze, Rwanda in October 2024. The first product will be a premium craft potato vodka made with unloved potatoes sourced from the Winnaz potato crisp factory and local farmer cooperatives. Virunga Mountain Spirits and Kinigi Grill prides itself on producing premium spirits and providing exceptional food, beverages, and service to our patrons.

We are seeking an Operations Associate to support distribution, supply and delivery planning. In this role, you will engage in supply and demand planning and contribute to and follow all standard operating procedures. A highly successful candidate will be proactive and detail-oriented, with exceptional administrative and logistical skills. Responsibilities:

Inbound Operations

● Monitor periodic supply plans for all product-related materials, including but not limited to:

o Potatoes and potato by-products
o Corn
o Yeast, enzymes and nutrients
o Bottles / packaging / labels / cartons o Other product-related materials

●  Track purchase order status and receipt of all inbound materials

●  Inspect all inbound materials for quality and accuracy to purchase orders and update inventory. Utilize established parameters with suppliers related to quality standards to ensure products delivered are as agreed

Distribution and Deliveries

●  Fulfill orders from wholesale customers to meet expected delivery timelines

●  Together with the Chief Accountant, engage with third party logistics and security providers

●  Plan and schedule all shipments to wholesale customers

●  Support invoicing according to established credit terms and shipping documents for all products sold Logistics and Administration

●  Perform administrative and logistical tasks

●  Maintain accurate records and documentation

●  Assist on human resources documentation, file keeping, data protection and management

●  Contribute to the physical operations of the building itself

●  Enforce company rules, policies and procedures

●  Cooperate with different departments and teams

●  Deliver IT support, as needed

While your responsibilities are as described above, you may also be called upon to provide assistance in other areas of the company, as needed.

Required Qualifications:

●  Previous work experience in operations, logistics, compliance or a related field

●  Operations, compliance and/or hospitality educational background preferred

●  An outstanding work record, including job performance, safety, and attendance

●  Excellent English language skills, oral and written, a must

●  Demonstrated mathematical (addition, subtraction, multiplication, division) and computer skills

●  Willingness to adhere to VMS business standards of safety, quality, and efficiency

●  Problem-solving and troubleshooting skills

●  Excellent interpersonal skills

●  Cultural competence: experience working with people outside of your home country

●  Ability to contribute to a work environment focused on health, safety and continuous improvement

●  Holiday and weekend work may be required
